March 23, 1999, 10:00 a.m. Tulare County Library, Visalia Present: Billie J. Clark, Judi Hill, Nancy Hughes, Irene Gomez, Ruth Vandenack, Lydia Molano, Mary V. Harguendeguy, Kelly Barile, Jeff Crosby, Karen Jennings and Kathy Sullivan. 1. The meeting was called to order by chairperson Nancy Hughes, and the minutes from the previous meeting were read and approved. NEW BUSINESS 2. Circulation Committee members and meeting schedules - a. The list of committee members was reviewed. There has been no representation from Coalinga, Mariposa or Tulare Public. We would like to know a contact person from these jurisdictions. b. Meeting times. It was decided that we would try to meet quarterly, the months of February, May, August and November. Meeting dates could vary. c. Meeting dates and minutes will be posted on the SJVLS web page. 3. Patron data entry - a. We need to check with the Post Office for any changes in mailing requirements; Kern County will check with their Mailing Requirements Department and Kelly Barile will check with Fresno's. b. Clean up of records. We still need to check patron data entry records and update area codes. c. Direct loan survey. This is collected by using the information in the Stat Class field, line #9. Make sure this is correct. This survey is run quarterly by Kelly for all but Kern and Kings counties. 4. E-mail between jurisdictions - a. For special patron requests or shelf checks, please use branch mailboxes instead of personal mailboxes. There could be a delay in processing the request if the person is on vacation or out for illness. b. When using the branch mail, only message to the specific branch, not 'ALL', unless the message is meant for all. c. Please remind staff to check branch mail on a regular basis. d. Dynix e-mail is a very important tool in communicating with others in our branches, jurisdictions and our System. It is available to most staff, useful to keep us informed of changes, saves time, phone charges and much more. 5. Collection of fees - a. In December, the Administrative Council passed a decision to allow jurisdictions to collect fines and fees from patrons generated by another jurisdiction. We do not have the information at this time on what exactly was decided at this meeting; current policies might need to be changed. b. If the patron has been sent to Collections, for the sake of the patron, do not collect fines and fees from this patron. They need to deal directly with the collection agency. Otherwise their account will not be cleared. There may be more charges that what is showing on Dynix. c. This will be discussed at the next meeting when more information is available. 5. Routing slips - a. A reminder needs to be put on the bulletin board periodically to fill out and attach routing slips correctly. b. It was requested that abbreviations for Porterville and Mariposa be included on the next printing of routing slips. UPCOMING ISSUES 1. The custom programming needs to be done on changing to the birthdate field instead of the telephone numbers on the patron view screen. We need to check with Mary Ellen. 2. There was no delta document on the 173 upgrade. We would like to see one future upgrades so that we know what the changes are ahead of time -- no surprises. ANNOUNCEMENTS 1. The next meeting will be held Tuesday May 18, 1999, 10:00 a.m. at Visalia.
