Minutes of the SJVLS Cataloging Committee Meeting

Meeting began at 10:00

Members Present: Laura Gardner, Ruth Vandenack, Diana Baker, Linda Probasco, Tammy Jordan, Michael Stowell, Deborah Johnson, Joy Wang, Louise Hodges.

Item: GMD's (General Material Designation) and Guidelines Discussion: Guidelines- Add Classics- Yes to Adult fiction and Non Fiction and Juvenille Fiction and Non Fiction. They are NOT to be merged. An open entry stays the same. If it is a reference book (there can be no holds on reference books) it should be on an open entry. There are only a few exceptions for this rule, usually for headquarters books. GMD's--
Add:

  1. photograph
  2. document
  3. wide-screen videorecording
  4. DVD
  5. Book and CD
  6. Website
Delete:
  1. Beta Videorecording
  2. cd-movie (DVD replaces this)
(Realia is for things not covered such as newspaper articles, tickets, etc.) When you run across [unabridged b.o.t.] please change it to [book on tape] and put a 500 note saying it is abridged or unabridged.

Item: Central Valley Visual Heritage
Discussion: Tammy Jordan told the cataloging committee a little about the digitization project named the Central Valley Visual Heritage. Tammy and Diana Baker told them that the website would include 200 to 400 pictures from each of their jurisdictions. There will be links from the catalog record to the website and vice versa. Diana advised the Cataloging Committee that they had been asked to come up with a form to write down the type of information that is needed to catalog each picture. It was recommended that the following fields should be included on the form: 100, 245, 260, 300, 500, 650, 651, 655 fields. Will check to see which field website addresses and owning library should be in before next CVVH meeting is. Diana will make the form and show it to the CVVP Committee.

Item:Cataloging Class
Discussion: It is to be basic information, which authority to choose, punctuation, GMD's and Guidelines that will be dealt with. Quality control will be a real concern. Madera asked to send a few from their branches. Will be sending e-mails to ask which date would be good for Mariposa and Porterville and others to attend the meeting.

Item:Authority control clean up
Discussion:Authority control clean up needs to be done before the migration. The Migration Task Force recommended sending the authorities out to a vendor to be cleaned up. Deborah Johnson and Laura Gardner check vendors to see if it is possible to break up the cleanups in four sections (in the following order)

  1. Author authority
  2. Subject authority
  3. Uniform titles
  4. Series titles
Michael suggested checking with Dynix to see if they can clean it up as an add-on. Deborah and Laura will write the RFB.

Item: GMD and sort
Discussion: At a previous meeting it was suggested that it would be better if the GMD's showed up after a sort was done. After being checked into it was the committee was informed that the Reference Committee would have to approve this. It was decided that Diana would write a recommendation to the Reference Committee suggesting having the GMD's show after a sort.
