Minutes of the SJVLS Cataloging Committee meeting

Meeting began at 10:20

Members present: Laura Gardner, Ruth Vandenack, Diana Baker, Linda Probasco, Louise Hodges, Deborah Janzen, and Mike Drake (guest).

Item: General Orders
Discussion: Chairperson informed committee that the SJVLS Administrative Council declared that only 4 jurisdictions needed to be present to make a quorum.

Item: Authority control clean up
Discussion: Laura Gardner presented a Recommendation to be sent to the Administrative Council recommending that we send our authority control to be cleaned up. A motion was made by Visalia and seconded by Fresno to send Recommendation to the Administrative council. Motion passed.

Item: Migration Task Force
Discussion: Laura Gardner said there was no meeting last month so there was basically nothing to report. The move will be no earlier than December and still looks like 2003. Kern has replaced 385,000 barcodes since July 2001. Committee will go over Chapter 3 of Horizon manual at a later date. Fresno said they had been working on their collection codes (reminder: collection codes can be no longer than 7 characters in Horizon). Need to look at your collection codes.

Item: Digital imaging Cataloging
Discussion: Mike Drake presented Image Data Form and explanation pages and OAC-LSTA Metadata required pages. These are not the final form it is an outline. The form is still developing. Laura has asked for a picture from Kern digital staff to catalog as an example. Rights management will not go on Marc record if we cannot find a field that the public cannot see. It will be part of the metadata. Kern will check into doing rights management as an order record, if it can it be exported to metadata, or a field that does not show to public. Mike explained that the Online Archive of California (OAC) would be using our marc records. Two libraries are working on the same type of form. The OAC-LSTA project metadata form is just "for your information" (FYI). "Different" language is used by academic library and a public library. Some of the information they want can be done by telling them the kind of equipment we use. Mike will look at OAC form and our form to see if they coincide. Metadata should be able to exist independently of the marc record. Web address will point to rights management information page on the web site. Rights management is still fuzzy. Kings questioned on how copyright is determined. The digital image copyright will be owned by the library, the photograph (etc.) copyright is owned by photograph owner. Committee will decide later if the description of original item should be in inches or centimeters. Mike will look to see what others doing this type of project are using. OAC is willing to work with public libraries on developing forms.

Item: Infopeople Cataloging Class and cataloging class
Discussion: Our local cataloging class is postponed until after the digital imaging cataloging form is completed. The digital form will then be discussed at the class so anyone who has questions can ask them at that time. Infopeople is giving a class on Cataloging Fundamentals. Marc tags will be a part of this class. One of the classes is in Bakersfield. The Committee encourages all who work with cataloging including volunteers to attend the class. You can use the Heartland Infopeople scholarship to go to the class if your jurisdiction has not used their $200 allotment for classes up. If your director is not sure if your allotment has all been used, you may contact Mike Drake at SJVIS. Heartland is a good way to get the word out about the Infopeople classes. It is bringing more of the classes to the Valley.
