Minutes of the SJVLS Cataloging Committee meeting

Meeting began at 10:10

Members present: Mary Ellen Tyckoson, Laura Gardner, Ruth Vandenack, Diana Baker, Linda Probasco, Tammy Jordan, Louise Hodges and Mike Drake (guest).

Item: General Orders
Discussion: Read new quorum rules Mr. Kallenberg sent in a memo from Administration Council. Since three do not attend the meeting and have no representative coming, according to the memo we only need 4 to make a quorum.

Item: GMD’s (General Material Designation)
Discussion: Agreed to put widescreen in note field. Reminded everyone CD-movie is now DVD. Be careful when merging. Make sure it shouldn’t have a GMD making it a different record. Be careful when merging videos. They are re-releasing them with more scenes. So they are not the same video. Do not merge classics, some people want books by certain illustrators. Laura will send the new GMD and guidelines out by e-mail.

Item: Lost items assigned to GRGR
Discussion: Laura will take this to the Migration Task Force. They are the ones to clean this up.

Item: Authority control clean up
Discussion: Laura Gardener checked and the price is five cents a record. She will write a recommendation to the Admin Council to have this done by the outside agency. Also recommending that each jurisdictions clean up their bib records with no holdings. Some of them have a reason to have a record with no holdings, but there is a lot that could be deleted.

Item: Migration Task Force
Discussion: Cataloging committee should look at the Horizon manual Chapter 3 to see if defaults are all right. Look at www.sjvls.org/sjvls/auto/hzdocs. Look at section 3, 3.1A and 4.2. Section 3.3B Stop words leaving to reference. Mary Ellen will send us other sections for cataloging committee to check over. Look at as soon as possible. Reminder collection codes can be no longer than 7 characters in Horizon. Need to look at your collection codes.

Item: Digital imaging Cataloging
Discussion: Mike Drake talked about the digital project. There will be about 4000 digital images (photos, postcards, etc.) and Marc records are needed for each. Mike is concerned about consistency. A general template will be made for cataloging. There will be an Image number or identifier to for each image and information. The 856 field will just display in record to click on to get to the image. Each jurisdiction will catalog their own images. Cataloging centers will do first ones and send out guidelines and examples. Local subject headings can be done to make it specific (year, etc.). Note field will be keyword indexed. General Keyword will access all fields. Images don’t need collection codes since it will be going to a web site. A "thumbnail picture" and a URL will be included on record for dual points of entry. The GMD will tell people it is an Image not a book. IPAC will display more information when it is installed. The cataloging centers will do spot checking on the records. The scanning will begin about April 1st. The State completion date is September 30, 2002.

Item: Cataloging Class
Discussion: Porterville is down people and Mariposa has a small staff. It is suggested there be two classes a southern and a northern. Diana Baker will do two classes, one at Porterville and one at Mariposa. She will be contacting each agency to set up a date.
